Position Overview

The Project Assistant provides vital administrative support to the Project Management team, ensuring smooth and efficient operations across all phases of construction projects.

Key Responsibilities

  • Create, maintain, and verify accuracy of all project documentation, including contracts, subcontracts, purchase orders, meeting minutes, change orders, permits, waivers, and drawing logs.
  • Support Project Managers by preparing and tracking project control documents and ensuring compliance with company standards and procedures.
  • Upload, organize, and distribute project information through solicitation and construction management software.
  • Facilitate effective communication by promptly distributing correspondence and serving as a liaison between the company, clients, subcontractors, vendors, and owners.
  • Maintain up-to-date drawing logs and project documentation within construction software systems.
  • Attend meetings, record detailed notes, and distribute minutes in a timely manner.
  • Provide general administrative support, including data entry, filing, and document management.
  • Maintain current contact information for all project stakeholders.
  • Collect, verify, and organize all required project closeout materials, including as-builts, O&M manuals, submittals, and compliance documentation.
  • Compile and prepare final O&M manuals for client delivery.

Qualifications

  • High school diploma or equivalent required; continuing education or professional development encouraged.
  • 1-3 years of administrative or general office experience, preferably in the construction or a related industry.
  • Proficiency in Microsoft Office Suite and general computer applications.
  • Strong organizational skills with the ability to manage multiple priorities effectively.
  • Excellent attention to detail, communication, and follow-through.
  • Familiarity with construction management software preferred.
